Meerkat Service Administrator

25 hours per week to be worked across Tuesday – Friday

£21,730.00 to £23,177.00 FTE – depending on experience

For almost 25 years Rowans Hospice Charity has provided specialist hospice palliative care and support to patients with life limiting illnesses, their relatives and carers in Portsmouth and South East Hampshire.  Rowans Meerkat Service is part of the comprehensive care provided by Rowans Hospice.  This service offers pre and post bereavement support to children up to the age of 18 who have a significant adult with a life-limiting illness or who have died.

Role Profile:

The post holder will work under the direction of Rowans Meerkat Service Lead to enable the smooth running of services offered to those accessing support from Rowans Meerkat Service.

Main Accountabilities:

  • To provide secretarial support to the Meerkat Service
  • To keep resources tidy, up-to-date and order more as required
  • To be the first point of telephone contact into the service for service users and professionals making enquiries. This will require managing calls from distressed family members at times
  • To be the point of contact for receiving referrals
  • To maintain and enter referrals onto a database
  • To coordinate assessments for new clients
  • To coordinate Meerkat Service groups and events, including the organisation of suppliers and entertainers
  • To prepare resources for after school groups
  • To coordinate transport for children to attend groups as necessary
  • To organise room bookings as needed

We are looking for the following essential knowledge, skills and abilities:

  • Secretarial experience
  • RSA 3 Level 3 or equivalent qualification
  • Experience of working with Microsoft Office
  • Experience of maintaining a database
  • Strong communication and interpersonal skills, including excellent telephone communication skills, which are required on a daily basis when fielding calls from families who may at times be experiencing high levels of distress
  • Ability to work within a team
  • Ability to use own initiative
  • Ability to respond to changing situations

Previous experience of working within a healthcare/charity/ bereavement setting would be an advantage but this is not essential.
